📋 1. Before you start
- Remove staples and paper clips if you're using the document feeder on top of the copier.
- Document feeder: place pages face up in the tray on top. Use it for a stack of loose pages.
- Glass: lift the lid and place the page face down. Use it for books, thick or delicate originals, or odd sizes.
📩 2. Scan a document to email
1Sign in with your ID card
Hold your LETU ID card against the card reader next to the copier screen. The screen changes to Welcome, [your name]! and shows three buttons: Print Release, Access Device and Scan.

The sign-in screen: "To continue, swipe your authentication card."
📝 Note: Use your LETU ID card. If the copier doesn't recognize your card, contact the IT Help Desk with your name and the copier's location.
Tap Scan.

2Choose where the scan goes
Pick one:
| Option |
Sends the scan to |
| Scan to My Email |
Your own LETU email address. This is the one you'll use most. |
| Scan to Another User |
Another LETU person's email. You'll be asked who to send it to. |

3Check the details
The Scan Details screen shows who the scan goes to and its settings. The defaults are Color PDF, 1-sided, Letter Portrait, 300 DPI, which suit most documents.
- Subject: the email subject line. Tap it to type your own, for example the document name.
- Filename: the name of the attached file. Tap it to rename the file.
- Change settings: opens the scan settings (section 3).
- Prompt for more pages: leave this ticked if you're scanning more than one page on the glass, or more than one stack of pages (section 4).

4Start the scan
Place your document, then tap Start on the screen (or press the green Start button on the keypad). The copier shows Processing… while it scans.

5Finish
When the copier has scanned your pages it shows how many it scanned. Tap Finish to send the email.

You'll see Scan completed. The email arrives in a few minutes.

⚙️ 3. Scan settings
Tap Change settings on the Scan Details screen. Tap an option to select it (the selected one is underlined in green), then tap Start or the back arrow.

| Setting |
Choices |
When to change it |
| Duplex mode |
1-sided, 2-sided |
Choose 2-sided when your originals have printing on both sides and you're using the document feeder. |
| Orientation |
Portrait, Landscape |
Choose Landscape for pages that are wider than they are tall. |
| Paper size |
Letter, Legal, Ledger |
Match the size of your original. Letter is 8.5×11, Legal is 8.5×14, Ledger is 11×17. |
| File type |
PDF, TIFF, JPEG |
PDF for documents (multi-page scans become one file). JPEG for a single photo or image. |
| DPI |
100, 200, 300, 600 |
Higher is sharper but makes a larger file. 300 is right for most documents; use 600 only for fine detail or photos. |
| Color mode |
Color, Grayscale, B&W |
B&W or Grayscale gives a much smaller file for plain text documents. |
💡 Tip: If the email is too large to send or receive, scan again in Grayscale or B&W at 200 DPI.
📄 4. Scanning more than one page
With Prompt for more pages ticked, the copier stops after each scan and asks what to do next:
| Button |
What it does |
| Scan next page |
Adds more pages to the same file. Place the next page on the glass (or the next stack in the feeder) and tap it. |
| Scan new document |
Sends what you've scanned so far and starts a separate file. |
| Finish |
Sends the scan. |
| Cancel |
Stops and discards the scan. Nothing is sent. |
💡 Tip: Using the document feeder is the fastest way to scan a stack of loose pages into one PDF. Use the glass and Scan next page for pages that can't go through the feeder.
🚪 5. Sign out
Tap the sign-out icon (the arrow beside your name, top right). Take your originals with you. If the screen shows An original has been left on the platen glass, lift the lid and remove your page.
⚠️ Important: Always sign out before you walk away so the next person can't scan or copy as you.
🔧 6. Troubleshooting
| Problem |
What to try |
| The email hasn't arrived |
Wait a few minutes, then check your Junk Email folder. Search your inbox for the subject line you used (default Your scan). |
| The file is too large |
Scan again in Grayscale or B&W, at 200 DPI. |
| Pages are missing or out of order |
In the feeder, place pages face up with page 1 on top. On the glass, scan one page at a time with Scan next page. |
| Only one side of my pages scanned |
Set Duplex mode to 2-sided and use the document feeder. |
| The scan is crooked or cut off |
Line the page up with the arrow on the glass, or set Paper size to match the original. |
| The copier doesn't recognize my card |
Hold the card flat against the reader for a second. If it still doesn't work, contact the IT Help Desk. |
